The ROMS/TOMS Venice Workshop is nearly a month away and I hope that by this time every body attending has made the necessary arrangements for traveling, visa (if needed), and hotel. Please let us know if you are having problems getting a visa or finding a hotel. Hotels in Italy are expensive but you can still find reasonable rates.
The Workshop will last 2.5 days. On Monday (Oct 18th), we have an invited speaker and several ROMS/TOMS developers will present various talks about different aspects of the model. Tuesday (Oct 19th) is applications day and we have very diverse and interesting talks. On Wednesday morning, we will have a three-hour discussion session.
If you think that you have anything important to discuss please let us know. We can allocate up to five minutes for you to present your topic during the discussion session. You may use a single transparency or one-frame PowerPoint to present the topic. We would appreciate it if you would let us know in advance so we can prepare accordingly.
The program is pretty much completed. We have a 24 page PDF document with various information:

For those giving a talk please check the program for the time allocated to your presentation. This time includes questions and answers. We appreciate if you help us to keep the schedule on track. We will give you a copy of this program at the workshop. The workshop will take place at CNR-ISMAR. This is an Italian government institution and we need to be out of the building by 7:30-7:40 P.M. each night with no exceptions. We thank CNR-ISMAR for allowing us this schedule. Usually, the doors need to be closed after 5:00 P.M.
Notice that there are three-hour lunch breaks. We encourage informal exchanges with the participants during these breaks while you walk around Venice. Notice that the program includes two maps and some notes about Venice attractions. Also, we are hoping to include pamphlets with tourist information.
For those giving an oral presentation, please send us your PowerPoint or other electronic file by October 13, 17:00 GMT. See next entry (below)for instructions.
For those giving a poster, please also send us an electronic copy so we can put it in our web site for future reference. The posters should be set up on Monday before or during the first break at 10:50 A.M. We encourage all participants to visit and discuss the posters during all breaks. The posters need to be removed after we adjourn on Wednesday noon. The poster display panels are 140x100 cm. Usually two posters are displayed per panel. However, we have enough panels to display one poster per panel. Therefore, plan your poster to fit in one of such panels. We do not have facilities to print your poster. However, I was told that you can print your poster at any print center in Venice. If so, you need to provide a PDF of your poster. I don't recommend you to this but it is up to you.
Several of you have asked me about the registration fee. We still do not know if we are going to have one. We wrote a small proposal to the U.S. Office of Naval Research Global (London, UK) and we are still waiting for a confirmation. The only thing that we know, at this time, is that the proposal was recommended for funding. Let's hope that this is the case. We will keep you posted about the outcome. We are using this funds for organization, breaks, lunches, etc.
As you may noticed in an earlier message, we designed a T-shirt for the workshop. Please let us know by September 17 if you want one. We already have above 40 requests. Seems that everybody likes the design. We have few compliments.

Dear Workshop Speaker,
Although not obligatory, we encourage you to use PowerPoint or similar electronic presentation media.
http://www.myroms.org/Papers/ROMS2004.pdf
We would like to post these presentations in the ROMS/TOMS website for future reference.
To ensure that the program goes smoothly, we would appreciate if you could send us your electronic presentation by 17:00 GMT on October 13th by email. If your presentation is too large to send as an attachment please send email to David Robertson at robertson@marine.rutgers.edu and we can work something out. We are planning to load all of the presentations into two laptops and will burn a DVD as backup before we leave the US on October 14th.
We understand that we always make last minute changes to our electronic presentations. If this is the case, we would still like to have the first take of your presentation. If you make changes please bring a CD or memory stick of your updated presentation and give it to us before the beginning of your session.
Thank you for your cooperation,
The Workshop Organizing Committee
